1. Who We Are

ApplyDesk provides structured job search support services with human oversight. Our services may include curated job shortlists, onboarding review, workflow organization, resume organization support, and manual application support where expressly stated in the purchased plan or service description.

For the purposes of this Privacy Policy, "ApplyDesk," "we," "our," and "us" refer to the operator of the ApplyDesk website and service.

The current privacy contact for ApplyDesk is hello@apply-desk.com. If you need to make a privacy-related request, complaint, or ask who is currently responsible for ApplyDesk data practices, use that contact address.

2. Information We Collect

We may collect personal information you provide directly, including your name, email address, phone number, resume or CV files, job preferences, target roles, location preferences, work authorization details, onboarding responses, intake submissions, support messages, and other information you choose to submit in connection with the service.

When you make a purchase, payment information is processed by Stripe. We may receive limited transaction details such as payment status, purchase amount, selected plan, receipt or invoice details, and the customer email associated with the transaction. We do not store full payment card numbers on our own systems.

We may automatically collect limited technical, session, and diagnostic information generated through use of the site, such as IP address, browser type, device type, referring pages, session-related events, and basic operational or security diagnostics.

If you sign in through Google, we may receive basic account information such as your name, email address, avatar, and account identifier as permitted by Google and your account settings.

3. How We Use Personal Information

We may use personal information to provide and operate ApplyDesk services, process purchases, verify payment status, create and manage onboarding workflows, review intake information, organize and deliver job search support services, and communicate with customers about onboarding, support, payment, progress, or service-related matters.

We may also use personal information to maintain internal service records, improve our website and workflow, detect misuse, fraud, abuse, security incidents, or policy violations, enforce our Terms & Conditions and other legal rights, and comply with legal, regulatory, tax, accounting, or contractual obligations.

4. Legal Basis and Consent

We may process personal information where reasonably necessary to provide requested services, manage the customer relationship, complete transactions, operate and secure the website, and comply with legal obligations.

Where consent is the applicable legal basis, we rely on consent. In other cases, we may process information where reasonably necessary to perform a contract with you, protect legitimate business interests, prevent fraud or abuse, or respond to lawful requests.

5. How We Share Information

We do not sell your personal information.

We may share personal information with trusted third-party service providers that help us operate the service, such as payment processors, authentication providers, hosting or infrastructure providers, storage providers, email and communication tools, and security or diagnostic service providers. These providers may process personal information on our behalf for operational purposes.

We may disclose information if required to do so by law, regulation, court order, subpoena, or lawful government request, or where disclosure is reasonably necessary to protect rights, safety, property, or legal compliance.

If ApplyDesk is involved in a merger, sale, reorganization, financing, asset transfer, or similar business transaction, personal information may be transferred as part of that process, subject to applicable confidentiality and legal requirements.

We may also share information where you request or authorize us to do so.

6. Stripe and Payment Processing

Payments are processed through Stripe. When you make a purchase, your payment information is collected and processed directly by Stripe in accordance with its own privacy and security practices.

ApplyDesk may receive limited payment-related information from Stripe, such as payment confirmation, customer email, billing status, and plan details, for order management, customer support, fraud prevention, bookkeeping, and service activation.

7. Data Storage and Retention

We store personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including service delivery, recordkeeping, dispute handling, legal compliance, fraud prevention, tax or accounting obligations, and operational needs.

Retention periods may vary depending on the type of information and the reason it was collected.

We may retain certain records after service completion where reasonably necessary to maintain business and transaction records, handle disputes or refund issues, enforce agreements, comply with legal, tax, or accounting obligations, or prevent abuse or repeated fraud.

8. Sensitive Information

ApplyDesk may receive resumes, job search materials, and onboarding details that contain personal information. Customers should avoid submitting highly sensitive personal information that is not reasonably necessary for the purchased service.

For example, unless clearly required for the service, customers should avoid sending unnecessary government identification numbers, financial account details, medical details, or unrelated confidential records.

9. Data Security

We use reasonable administrative, technical, and organizational measures to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.

However, no system, storage method, or transmission process is completely secure, and we cannot guarantee absolute security.

Customers are responsible for using secure devices, protecting their sign-in credentials, and exercising discretion when submitting personal information online.

10. International Processing

ApplyDesk and its service providers may store or process information in countries other than your country or province of residence. By using the service, you understand that your information may be transferred to and processed in other jurisdictions, subject to applicable legal and contractual safeguards where required.

11. Your Choices and Rights

Depending on your location and applicable law, you may have the right to request access to, correction of, or deletion of certain personal information held by ApplyDesk.

You may also request that we update inaccurate information or stop using certain information where legally required.

To make a privacy-related request, contact hello@apply-desk.com. We may need to verify your identity before responding to certain requests.

We may limit or deny a request where permitted or required by law, including where we must retain certain records for legal, tax, accounting, fraud-prevention, dispute-handling, or security purposes.

12. Cookies and Similar Technologies

ApplyDesk may use cookies, session tools, and similar technologies to support login flows, session handling, website functionality, security, diagnostics, checkout routing, and user experience improvements.

At present, these technologies are primarily used for authentication, session continuity, security, and core service functionality. If we later introduce non-essential cookies or similar technologies, we may provide additional notice or choices where required by law.

You may be able to control certain cookie preferences through your browser settings. Disabling some cookies may affect site functionality.

13. Third-Party Services and Links

Our website may contain links to third-party websites, login services, payment pages, or tools that we do not control. We are not responsible for the privacy practices, security, or content of third-party services outside our control.

Customers should review the privacy policies of those third parties before providing information to them.

If you believe a child has provided personal information to us, contact hello@apply-desk.com so we can review and remove it where appropriate.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised effective date or last-updated date.

Material changes generally apply prospectively from the updated posting date. If we plan to use previously collected personal information for a materially different purpose, we may provide additional notice or obtain consent where required by applicable law.
